This notice explains how SmartConnect API Audit (“we”) handles personal data when you use smartconnectapis.digital or engage our audit services.

Data we collect

Contact details you submit (name, email, phone if provided), messages describing your application plans, draft documents you upload for review, and technical logs such as IP address and cookie identifiers as described on our cookies page.

Purposes

We process data to respond to inquiries, deliver audits, issue invoices, improve site usability with optional analytics when consented, and meet legal record-keeping duties in Japan.

Retention

Inquiry messages without an engagement are retained up to twelve months. Engagement files and audit memos are retained up to twenty-four months after delivery unless a longer period is required for accounting or dispute resolution. You may request earlier deletion of drafts where legally feasible.

Your rights

Subject to Japanese law, you may request access, correction, deletion, or restriction of processing, and you may withdraw cookie consent for non-essential cookies. Contact us using the details above. You may also lodge a complaint with the competent authority in Japan.

International transfers

If processors outside Japan store email or file backups, we require contractual safeguards appropriate to the transfer. Draft application materials are shared only with auditors assigned to your engagement.

Security

We limit access to engagement files and use encrypted channels for file transfer where available. No method of transmission is perfectly secure; please avoid including unnecessary sensitive identifiers in early inquiry forms.
